EEADA NON-REIMBURSABLE ACTIVITY CAMPS

We believe that many opportunities outside of the classroom enrich the lives of our students. We also believe these opportunities support our mission of “Preparing Students for the 21st Century”, and therefore district funds may be used to support student attendance at summer activity camps.

 

Non-reimbursed activity camps not sanctioned by the WHSAA will now be referred to as “School Club Trips”. All paperwork and correspondence such as travel requests, manifests, itineraries and any other text associated with the trip will be referred to by the use of the term “School Club Trips”.

 

The WDE mileage fee will not be charged for “School Club Trips” involving student travel that is associated with a school sanctioned club but will remain in place for all non-school sanctioned trips. Driver wage and benefits will not be charged to the trip, but will have to be reported as non-reimbursable on the WDE 620 report.

 

Fuel costs, driver’s rooms and meals, registration fees and all other costs pertaining to participation in the activity must be borne by the sponsoring group through outside funds.

 

Due to limited availability of funds, these club activities will be subjected to limitations. Trips will be limited to a 500 mile radius of Evanston and activity camps not to exceed 5 days. Sponsors may choose to attend two (2) camps or seminars with a 150 mile limit and shorter duration. Requests for trips beyond these limitations must be approved by the Superintendent, Transportation Director and the Activities Director.
